CONTENT SUBMISSION PROCESS
All content for should be submitted to ROQlogic for creation in the Media Center. The exception to this rule is files such as videos, audio files, locked PDFs, MS Office documents or other non-template based files. These files can easily be uploaded directly to your library using the platforms Upload tool.
Be sure to look at FILE PREP and SOCIAL PREP pages. Additionally, you can download our Design Guidelines. You can also download various Template Masters from the DOWNLOADS page.
NEW CONTENT SUBMISSION
Step 1
Once your files are correctly built, you can them upload them to Dropbox or Google Drive. If you’d like to utilize another File Sharing Service, please speak directly to your ROQlogic representative.
Step 2
Click NEW SUBMISSION in the main navigation. This form contains fields for all the information required to build your content – as well as some very specific steps on preparing your content. Once the form is complete, click on the submit bottom at the bottom of the page. Note – please do not press submit multiple times.
Step 3
You will receive a system generated email that confirms your project has been submitted
Step 4
Our production team will be notified of your submission, and will check the job into our ticket system. When that check in is complete, you will receive an email from one of our team member that confirms the submission, along with the job ticket number. This tells you that the job is now in the process of being built.
Step 5
Upon completion of the job, you will receive an email with the subject line “Content for Approval” This notifies you that the job is ready for you to review, test, and comment with any questions, or with your approval. Note, it is critically important that you test the template prior to approval. This test involves going to your sample user, building a copy of the template in the library, and testing all fields. ROQlogic cannot be liable for content that is not tested prior to approval. One other note – when we name the project, we include the ticket number in the name. This allows you to quickly identify new templates, or unapproved tickets in the library. It is important for you to remove that ticket number from the name once you approve it and push it live.
Step 6 (if the template is approved, skip to Step 7)
If there are changes, reply to the content approval email with a list of those changes. Include any images that may be helpful for our production department to properly make the requested updates. Our production team will replay to this same email string once the updates are made. Continue making comments on this email string until the template is approved.
Step 7
Once the template is approved, reply to the Content Approval email with a simple note that it has been approved. This allows us to close the job ticket in our job ticketing system, and better manage any open jobs. You can then update the template name (removing the ticket number as discussed above), description or instructions. It is then ready to push live using the Access Control tab.
UPDATE EXISTING CONTENT
If there are any changes or updates to a template after it has been approved, please select UPDATE CONTENT from the top menju and complete the update form. Once submitted, this change will go through the same process as outlined for new templates above.
